AI Agent as part of the operating system — not a chatbot that answers questions

A story from a furniture business in Ho Chi Minh City: from scattered individual knowledge to a system with memory, tool integration, and automation.

The challenge — scattered knowledge, one tool per person

Before the change, our team mostly used AI as a question-and-answer tool. Each person had their own AI tool — and knowledge still lived scattered across individuals. The result: every question started from zero.

What I was looking for was not another chatbot. I was looking for an AI Agent that could become part of the company's operating system — with memory, the ability to connect business tools, and the ability to carry out repetitive work instead of only answering questions.

The AI Agent inside the operating system

When deploying with 5AC, we began to see a different path: a system able to connect with internal tools, automate repetitive processes, and support management roles. The support team accompanied us closely — from VPS and configuration to connecting internal systems.

We are connecting this system with Lark — our team's main working platform — so the agent can take part in reporting flows, information synthesis, and support for management roles continuously, without fragmentation.

The question has changed

Before"How do employees use AI?" — each person found their own tool, knowledge lay scattered.
Now"Which tasks can be handed to an AI Agent to run regularly — with data, with output, and with human oversight?"

The most important change has appeared: the question moved from how individuals use tools, to how the organization assigns work to a system capable of running continuously, with data and human supervision.

Towards — AI that reads operating status

The long-term goal is to connect the AI Agent with the company's shared data system, so that AI does not only answer but can read operating status, detect problems, report, and support human decision-making. That is the real value of an operating system assisted by AI.

We are at an early stage — it is too soon to talk about ROI numbers. But the change in how we see work is already clear.

"Before, we asked 'how do employees use AI?'; now the question has become 'which tasks can be handed to an AI Agent to run regularly — with data, with output, and with human oversight?'."
